A villa stay in Los Cabos can feel effortless—if the details are handled before you arrive. Use this checklist to make sure your home base is fully staffed, stocked, secure, and ready for the kind of trip you actually want.
At Náay Travel Experience Designers, we plan villa stays with privacy, timing, and comfort in mind—so you can focus on the moments that matter.
1) Before You Book: the non-negotiables
Confirm exact location and drive times (beach access, restaurants, nightlife, golf, marina).
Ask what’s included: daily housekeeping, butler/concierge, chef availability, airport transfers.
Clarify occupancy rules (max guests, day visitors, events, noise policies).
Review security: gated community, on-site security, cameras, safe, after-hours access.
Check backup power + water pressure (especially important in warmer months).
2) Transportation: airport to villa (and everything in between)
Transportation is the #1 factor that determines whether a villa trip feels smooth or chaotic. Plan it like a timeline, not a single booking.
Private airport transfer booked for every arrival/departure (with flight tracking).
Dedicated driver or on-call SUV/van for the group (especially for dinners).
Car seats requested in advance if traveling with kids.
A ‘late-night’ plan: who drives, where pickups happen, and how to reach support.
3) Private chef: menus, schedule, and service style
Decide which meals are chef-served (breakfast daily? 2–3 dinners? one special tasting?).
Share dietary needs + preferences early (allergies, kids’ favorites, spice level).
Confirm staffing: chef only vs chef + sous + server/bartender.
Plan one ‘signature’ moment: taco night, seafood grill, mezcal pairing, or brunch spread.
Ask about sourcing: local markets, premium cuts, specialty items, and substitutions.
4) Groceries & stocking: arrive to a ready villa
The goal: you walk in and everything you’d naturally reach for is already there.
Water + sparkling water (enough for the full stay).
Coffee/tea setup + breakfast basics.
Snacks for beach days + late nights.
Cocktail essentials (ice plan, mixers, citrus, garnishes).
Kids’ items (milk, fruit, simple snacks) if applicable.
5) Staffing & housekeeping: what ‘daily’ really means
Confirm housekeeping schedule + what’s included (laundry, turndown, dishwashing).
Request extra towels + pool towels for groups.
Ask who handles trash, recycling, and restocking basics.
Set privacy preferences: when staff should enter, and when they shouldn’t.
6) Security & privacy: discreet by design
Use a single point of contact for vendors and deliveries.
Limit who has the address (especially for group trips).
Confirm gate access procedures and guest list requirements.
If needed: arrange additional security for high-profile stays or events.
7) Experiences: plan the ‘anchors’ first
A great villa trip has a few anchor moments—and plenty of space around them.
Choose 2–3 anchors: yacht day, private beach setup, wellness session, or a special dinner.
Build in recovery time (especially after travel days and late nights).
Have a weather backup plan for ocean activities.
Confirm timing with transportation so nothing feels rushed.
8) The day-before arrival checklist
Final guest list + arrival times shared.
Transportation confirmations sent to each traveler.
Villa stocked + chef schedule confirmed.
Emergency contacts + support number saved.
A simple first-night plan (easy dinner + early rest).
